SharePoint Delivers
Microsoft SharePoint 2007 provides an efficient and user-friendly way for individuals, teams and departments to quickly create customizable collaboration and content management sites. For better management of the content in their deployments, SharePoint 2007 allows organizations to define "metadata" attached to each piece of content. This metadata defines the content types and terms used to describe the information stored in the SharePoint system so that information assets can be stored, retrieved and shared across the enterprise. For instance, one content type might be "Engineering Requirements Document" and the associated metadata might include “author, department, product family, language” and so on.
The SharePoint Challenge
SharePoint facilitates the ad hoc creation of sites across the enterprise. To support this decentralized provisioning model, Microsoft limited the scope of content type metadata to the site collection level -- logical groupings of sites in most deployment architectures that may number in the tens, hundreds, or thousands. Without central management, there is little consistency or accuracy of metadata across an enterprise-wide SharePoint deployment.
Further complicating the problem for most organizations are the multiple systems in addition to SharePoint that store vital information. The inability to rationalize metadata structures in SharePoint with structures deployed in other systems limits the ability to achieve true enterprise-wide content access and exchange.
Additionally, SharePoint limits the structure of metadata to small flat value lists. Organizations which use more complex structures to add relevance and context to metadata will not be able to manage those linguistic structures in SharePoint. Finally, metadata requirements continually develop and change across the enterprise during collaboration in SharePoint. Without tools to manage this evolution, changes cannot be made fast enough to meet the dynamic needs of the organization.
