Microsoft Office SharePoint Server 2007 enables multiple departments in an organization to quickly create customized collaboration and content management sites. Many organizations have embraced SharePoint Server 2007 and implemented global deployments with thousands of SharePoint sites. This proliferation of sites has resulted in a lack of enterprise governance over the metadata structures for site, library, and list definitions.

The SchemaLogic Connector for Microsoft SharePoint 2007 specifically addresses these issues, enabling companies to develop and manage an enterprise-wide metadata model describing corporate information assets stored across multiple SharePoint sites. This standard is published across all SharePoint sites delivering enhanced information integrity, consistent information access, and effective governance across the enterprise.

The Connector allows metadata models managed in SchemaServer to be linked and synchronized with metadata structures in SharePoint (Content types, Site Columns and List Values). This enables organizations to centrally manage and synchronize sites, templates, lists, and semantic search capabilities across Windows® SharePoint Services 3.0 and SharePoint Server 2007 sites.

Changes to the metadata model in SchemaServer are published to SharePoint, creating and updating metadata structures. The Connector promotes governance and compliance across the entire SharePoint environment while allowing for departmental variations, which are linked and tracked for ongoing governance and compliance management.

Feature Overview

 

Authentication

The Connector supports both Single Sign-On and non Single Sign-On authentication methods to SharePoint and uses the credentials defined in Active Directory to determine Object Permissions for both SharePoint and SchemaServer. The permission settings identify what objects in both SharePoint and SchemaServer (Semantic Standard) an authenticated user has permission to establish relationships (links) between.

Modeling and Linking SharePoint Metadata

The SharePoint metadata can be modeled in SchemaServer’s as a standard definition for Content Types, Site Columns, and list values. The Connector retrieves all SharePoint sites, Site Collections, Web Applications, or Farms in a SharePoint global deployment and displays the hierarchical list of Content Types and Site Columns as candidates to be linked. The user can link the Content Types and Site Columns to the standard model objects in SchemaServer to create the linkage to standard metadata model. When a Content Type is created in SharePoint, it is linked to the corresponding object in SchemaServer.

When updates are made to the master model, the link enables the ability to propagate approved changes to Content Types and Site Columns in all linked SharePoint locations, regardless of which Site Collection, Web Application, or Farm the metadata structures reside. Additionally, SharePoint then propagates those changes down to Lists and Libraries that use those Content Types and Site Columns.

Synchronization

Synchronization Services are provided to keep the SharePoint sites up to date with the latest versions of the metadata model. Synchronization can be initiated directly from the Connector client user interface or via an automated synchronization process. The user can setup, administer, and run automatic synchronizations from SchemaServer or the Connector Data Cache to SharePoint. The synchronization is timer based with the ability to specify groups of object links to be synchronized.

Each group can have its own synchronization parameters defined:
• Frequency and time of the synch
• Data source to synch from (SchemaServer or Connector Data Cache)

Feature Deployment

The feature deployment capability provides a method to integrate with deployment models that use the SharePoint Features and Solutions capability in WSS 3.0 to create Site Columns and Content Types. A SharePoint Administrator is given the option to either create objects in SharePoint directly, or write the objects as Feature files. Feature files have processes to modify the files and copy them to a staging location.

Localization

Localized values defined in the standard model are integrated into SharePoint so that SharePoint users can view the values in the correct language based on the culture settings on their client machine.

Compliance

The Connector provides Compliance Monitoring identifying both high level and detailed reporting on the delta between the metadata models defined in SchemaServer with the corresponding metadata models in SharePoint. Additionally, the application allows a user to perform a number of actions to bring the models into closer alignment and to identify items that are accepted variances.
